SUSPENSION OF NORMAL OPERATIONS

On Friday, March 20, 2020 the Greater Wichita YMCA announced the immediate suspension of all traditional operations including memberships, programs, sports, and activities until further notice. This decision was a in an abundance of caution to limit potential concerns regarding the transmission of COVID-19 and has, since, been reinforced by decrees and instruction from public health experts and leaders on the local, regional, state, and federal level. 

We know this will raise some concerns regarding membership and participation - specifically fees, charges, enrollment, etc. We have enjoyed the support of this community since 1885 and we are committed to continuing our role as a leading resource for and connection to good health for all in our community.

  • We have put all accounts on "hold"  and NO FEES will be charged until further notice (and after we resume normal activities).
  • NO action is required on your part (for membership, sports or program enrollment, personal/small group training, etc.)
  • ALL accounts will be credited for the lost time and access to our facilities/programs once we resume normal operations
  • Those requesting to cancel their membership, drop enrollment, and/or get a refund will be served by our Member Services team 

We have prepared a list of Frequently Asked Questions that might help with additional concerns and we wanted to share how we are serving members now and how, if you are interested, you can support our Y's efforts to stay agile and meet needs until we resume normal operations.

FREQUENTLY ASKED QUESTIONS

These are the most common questions we've been asked by members, program participants, and community members since this announcement.

MEMBERSHIP QUESTIONS

WHY ARE YOU CHARGING ME WHEN I CAN’T USE MY MEMBERSHIP?

We decided, on Sun. 03/15/20, to temporarily close all of our facilities in an abundance of caution for public health. Our March “draft” (collection of monthly fees) was, regrettably, already in-process at that time. We will credit accounts (monthly or pre-paid) for lost usage time once we resume normal operations. We announced on Fri. 03/20/20 that we will pause/halt all fees until further notice to our members – starting with the April draft. We have also made YMCA 360 (ymca360.org) content available to the entire community while we are closed. See more information below or at ymca360.org.

CAN I GET MY MEMBER FEES REFUNDED NOW VS. CREDITED LATER?

Yes. We announced on Fri. 03/20/20 that we will refund fees based on individual request. Please email info@ymcawichita.org to start that process.

WHY AREN’T YOU DOING A FULL REFUND FOR ALL MEMBER FEES?

To process a full refund would be difficult. We don’t know how long we will be closed and we have several membership types with varying payment options and collection mechanisms. We will credit member accounts later or will, upon request, refund member fees now. See instructions below.

HOW CAN I QUIT / CANCEL MY MEMBERSHIP?

We have, effective Fri. 03/20/20, put all charges (membership, sports/programs, add-ons, etc.) on hold. All March fees will be credited to member accounts once we re-open and we won’t charge you again without advanced notification. We would encourage you to stay on as a member to ease resumption of access and to avoid re-joiner fees when our operations resume.

I PAY FOR A (SEMI-)ANNUAL MEMBERSHIP IN ADVANCE – WHAT ABOUT MY FEES?

We will add access time under your pre-paid memberships once our operations resume. We will communicate that amount of time/value with our pre-paid members as soon as appropriate based on our resumption of traditional operations.

I AM A MEMBER THROUGH A CORPORATE AGREEMENT – WHAT ABOUT MY FEES? 

All Corporate Membership fees/programs are also on-hold. Please contact your benefits administrator to discuss how our temporarily closure/suspension of fees impacts your fees.

SPORTS , PROGRAM, and ADD-ON RELATED QUESTIONS

ARE SPRING SPORTS CANCELLED? HOW DO I GET A REFUND IF THEY ARE?

We announced on Friday, 03/13/20 that we were suspending our Spring Youth Sports seasons and intend to review that decision as information on when we will resume our normal operations (suspended on Sunday, 03/15/20) and how we can resume sports in that context. Our hope is that we can still hold our Spring Sports season either on a condensed schedule or overlapping with our Summer Sports schedule. We will communicate details with all participants as they are available.

If you would like to withdraw from Spring Sports you can do that by emailing info@ymcawichita.org. Partial refunds will be made available upon request or fees will be credited for future sports should we not hold our season as outlined above.

ARE MARCH PROGRAMS (GYMNASTICS, SWIM LESSONS, MARTIAL ARTS, ETC.) CANCELLED?

Yes. As our facilities were closed on Sunday, 03/15/20, all programs were suspended, too. We will be crediting participants for lost sessions in March and have suspended the collection of fees from Monday, 03/23/20 on. We will communicate the resumption of programs as soon as appropriate and will clarify how credits will be applied at that time.

WHAT IS HAPPENING WITH PERSONAL TRAINING AND NUTRITION COACHING?

All personal training (individual or small group) and nutrition coaching has been suspended as of the temporarily closing of all of our facilities on Sunday, 03/15/20. All accounts will maintain credits for future sessions and they will resume once we return to traditional operations with a communication sent to participants.

WHAT ABOUT MY PRIVATE LOCKER AND OTHER ADD-ONS?

Similar to our membership fees and program fees – that were announced as paused until further notice on Friday, 03/20/20 – all add-on fees have also been suspended. They will resume with our monthly add-on fees when we resume our normal membership fees and will apply any appropriate credits to accounts at that time. Look for additional information in future communications.

SUSTAINING MEMBERSHIP / DONATION QUESTIONS

I SAW YOUR EMAIL REGARDING “SUSTAINING MEMBERSHIP” WHAT IS THAT?

In order to continue modified/non-traditional operations (consistent with our mission-based organization’s commitment to healthy spirit, mind, and body for all) including YMCA 360 (see above or visit ymca360.org) and other initiatives under development we are asking for support from those members that are comfortable maintaining their monthly fees.

IS A “SUSTAINING MEMBERSHIP” A GIFT TO THE Y?

No. Unlike our Strong Community Campaign/philanthropy/development fund contributions these fees are considered ongoing, monthly membership fees. One-time gifts or recurring gifts for an amount other than current, monthly fees are welcome and can be coordinated through our Philanthropy department and those monies will be considered a gift/donation to the organization.

HOW DO I LEARN MORE ABOUT SUSTAINING MEMBERSHIP OR MAKING A GIFT?

Please fill out our form (above) to enroll as a Sustaining Member or to make a gift and we’ll be in touch. We’ll also send a confirmation email with more specific email to all who opt-in to this program as soon as possible.

  • Sharing live content, themes and challenges, and dynamic exchanges with our members on social media
  • Keeping our community active and healthy with YMCA 360
  • Exploring ways we can collaborate with partners (established and new) to address COVID-19 concerns
  • Ensuring we’re ready for the return to “normal” as soon as appropriate (No. We don't - yet - know that date)
